This policy explains what information ValtricBot collects, how we use it, and the choices you have. We aim to collect only what we need to run the Service.

Information we collect

How we use it

We use your information to provide and improve the Service, generate replies to your customers, process billing, keep accounts secure, and provide support. We do not sell your data, and we do not use advertising or cross-site tracking.

Sharing

We share data only with the service providers needed to run ValtricBot, such as our hosting, email, and payment providers, and only as required to deliver the Service. We may disclose information if required by law.

AI processing

To generate replies, relevant ticket content and your knowledge base may be processed by AI model providers. This is used to produce answers for you and is not used to advertise to you.

Retention

We keep your data for as long as your account is active. When you delete your account, we remove or anonymise your data within a reasonable period, except where we must keep records to meet legal or accounting obligations.

Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal data. You can do most of this yourself from your dashboard: under your account settings you can change your email, download a full copy of your data, and permanently delete your account. You can also contact us to make a request.

Security

We protect your data with measures such as encryption of sensitive secrets, hashed passwords, brute-force protection, and optional two-factor authentication. No system is perfectly secure, but we work to keep your information safe.
